Policies & Practices

GUARANTEE MINIMUM
Participant numbers may be increased at any time, providing space availability, and decreased without penalty up to sixty (60) Days prior to the event, at which time the group will guarantee full payment of their projected numbers.

CANCELLATIONS
Events cancelled a minimum of 60 Days prior to the scheduled date(s) will receive a full deposit refund.

Cancellations made less than 60 Days will still be held responsible for 100% of the projected TOTAL FEE.

EMERGENCY CONTACT
In the event of an emergency, a host can be reached at any time at CJH by calling 402-944-2544 ext. 300.

INCLEMENT WEATHER .

If CJH decideds to close the properties due to inclement weather, the group will be refunded their deposit. If the group chooses to reschedule, the deposit may be applied to the new event provided it is scheduled within 30 days of theIf CJH/SH decides to close the properties due to inclement weather, the group will be refunded their deposit. If the group cancelled event. If the group does not decide to come because of inclement weather, but CJH/SH has not closed, this will be considered a cancellation by the group and normal cancellation fees and rules will apply.

RATES
Rates and booked space are guaranteed upon receipt of a written contract and deposit.

DEPOSIT
A deposit is required of all groups/individuals and is due with the written contract for use of facilities and services. The deposit will be credited on final billing provided all conditions of the written contract are fulfilled.  Damage to facilities and equipment beyond normal use, wear and tear will be billed to the group.

INSURANCE STATEMENT
Campers and retreat/conference guests are covered first by their personal insurance carriers.  In the event of an on-site accident, charges or portions of charges not covered by the individual’s carrier will be considered by the NLOM carrier, including deductibles not yet met and/or situations in which the individual has no insurance.  Illness and accidents due to the negligence of the individual or group are not covered.

YOUTH/ADULT
A ratio of NO LESS than one adult for every eight youth (through senior high) must be maintained and one adult must be present in any youth housing room/unit unless otherwise negotiated in advance.

GROUP RESPONSIBILITIES
Every group is responsible to designate a contact/planning person. The group leader is responsible for coordinating and preplanning the event CJH/SH. The group is advised to provide a person (at least 19 years of age) with current certification in CPR and First Aid trained by a nationally recognized provider, who will be present for the duration of the group’s stay. Groups will be responsible for providing their own First Aid supplies and Emergency Transportation. If an incident or accident does occur, the group leader will need to be sure the proper paperwork documenting the incident or accident is completed. The group leader is responsible for providing appropriate supervision for all of their participants. Groups are advised to collect emergency contact information and health history for all participants.

AWARENESS/OTHER GROUPS
Each group is responsible for its awareness and consideration of other groups present on the same dates, including noise level in housing units, proper decorum at meals and sharing joint recreation facilities.

MEETING SPACE
Meeting space is assigned according to group size and needs of a particular group and with consideration of other groups using the facilities on the same date(s).

ALCOHOL
Alcohol is only permitted at CJH with the written permission of the Executive Director prior to the event. Use of alcohol is not permitted at SH.

PERSONAL PROPERTY
NLOM Is not responsible for loss or damage to personal property. Guests are encouraged to lock their vehicles and storeall personal property in their vehicle. Weapons of any kind are not permitted on the property.

PETS
Guest pets are not allowed.  (Exception is the Family Camping Ground: pets must be restrained at all times).

SWIMMING &  BOATING
Groups are advised to provide their own certified lifeguard maintaining the ratio of one lifeguard to every 25 people. Groups are also advised to have an adult supervisor who is first aid/CPR certified.  Group provided lifeguards are required at all times during use of the pool and canoes/paddleboats. Life jackets must be worn at all times by lake users. Maximum of two people in a paddleboat and three in a canoe.

FISHING
Groups/individuals may fish in the lake within the following guidelines:

Personal boats with  electric motors (no gas motors) are allowed.
No minnows are allowed.
NE Game & Parks Commission fishing regulations apply.
Catch & Release ONLY.

The resolution of any question, incident or experience not expressly covered by the preceding policies and practices shall be at the sole discretion of Carol Joy Holling Conference & Retreat Center.
